Training Management and Scheduling
Client Introduction
Queensland Nickel is an established Nickel Refinery situated approximately half an hour north of Townsville. It was established in the late 1970s and sourced the majority of its ore from the mining town of Greenvale, where it was shipped directly to the refinery for processing and then shipped to the Townsville Port for export.
Client Requirements
The client required a training management system which allowed them to:
- Monitor and manage staff competencies.
- Manage training facility bookings.
- Report on all facets of training and their associated costs.
- Provision of a notification service, advising course participants of course details and requirements.
- The provision of a general access area whereby individuals are able to access details of their courses without requiring full access to the TMS system.
Their requirement was for a web-based system. The system needed to allow for multiple levels of access. A web based read-only version of the system was to be made available to employees to enable them to check on course availability and training schedules.
After initial research Australia wide, the client was unable to locate a training management system that met all their requirements. The system which most closely met their requirements was an add-on module to Osmotion's SAM system.
The client obtained quotes for the installation of Osmotion's Site Administration Management (SAM) system with the purpose of utilising only the Training module. However, this was discarded as an option due to costs and the requirement to purchase a solution for which they would only utilise a small percentage of the total system features. They then approached Osmotion to modify SAM's training module to develop a standalone system and to then develop a number of additional features to ensure the system met all their training requirements.

Employee Training Records
As an individual is selected to attend training or completes training, the information is recorded in the TMS system. This information includes competency expiry dates, course results for the individual and so forth. -
Service Providers
External service providers (training delivery companies) details are recorded in the TMS system. It records the training programs they are eligible to deliver, their contact details and so on. -
Venues
Users set up the training venues, allowing other users to track and maintain details for both internal and external training venues. Bookings can be made against those venues for date ranges, time ranges etc. When the user sets up a course, and assigns course dates and times, they are able to assign a venue to that course. -
Scheduling
Venue bookings may be made when course events are set up or the user can block a venue for a date range and time period directly via the Venue menu option. -
Resource Booking Facilities
Users can easily assign resource requirements to courses as well as booking the required resources. -
Automated E-mail Notification
Users are notified of their attendance at courses via e-mail notifications. The e-mail allows additional details and files such as course maps, course requirements and so forth to be included. Options are available for the course participant's supervisor and his/her department heads to also be notified. E-mail notifications are also forwarded to the course participant and their supervisor upon their completion of the course. This e-mail notification includes the participant's course result. -
Ability to record assessments not relating to a course
Sometimes an employee may be assessed as holding skills relating to a particular competency without actually attending a course. TMS allows these assessments to be recorded without the employee having to actually attend a course. Users may record these competencies using the Competency menu option. -
Reporting
There are over thirty different reports available as standard with the TMS system. These reports have been developed specifically with training management in mind. Customised reports can be easily developed on an “as needs” basis at a minimal cost. -
