Case Study
In 2008, BHP Ravensthorpe was moving from Construction phase to Production phase.
The company was using a manual process to manage key tasks, associated with transport and accommodation management.
A basic "Excel" spreadsheet was being used to track staff and their transport requirements. Manifests were produced manually, which required approximately 30-60 minutes per manifest. Around 200 manifests per week were needed. This very manual method was time consuming and costly.
Staff transport plans were posted on a noticeboard, which staff were required to check regularly, in order to confirm when they were to be transported and how.
The problem
The manual system of generating schedules, printing manifests and posting them on a noticeboard was time consuming, labour intensive, open to errors and costly. If a mistake was noticed, it was costly to fix, given the time required to do so.
Staff were required to be able to visit the noticeboard to receive their travel plans, or to make telephone calls to the administrators to retrieve information about their transport and accommodation bookings. This process was costly and time consuming for all involved.
The solution
BHP Billiton installed SAM for use at Ravensthorpe. SAM provided immediate and significant cost saving. Manifests are now produced automatically, in a fraction of the time. Travel itineraries can be accessed directly by staff, removing all of the manual labour of printing and posting on noticeboards.
Staff can simply logon to any internet access point, to check their travel and accommodation schedules, via the SAM "Kiosk". They can print their itineraries if they wish, or take an electronic copy.
The number of errors in scheduling and bookings have been reduced to zero, as SAM provides automatic checking to ensure there are no booking conflicts, before anything is confirmed.

Multi-site and multi-camp management
Osmotion SAM is flexible, catering for small construction projects through to large operational projects. It also caters for organisations with multiple sites that are looking to co-ordinate inter-site transfers of employees, contractors or visitors. Osmotion SAM can also track and report on the whereabouts of individuals throughout all sites linked to Osmotion SAM.
Security level access allows administrators to view accommodation availability across all sites, and the combination of camp and location reporting provides management with an immediate overview of the operations.

Managing visitors
Osmotion SAM makes managing visitors simple. A systemised approval process ensures that all visitors are authorised for entry and are only granted access to pre-determined areas across the site.
Reports
SAM provides users with more than 200 reports addressing various information requests. These reports provide site managers with the necessary information to assist in effectively managing their site. Using these reports, managers are able to forecast transport and accommodation usage more effectively, thereby reducing site costs. Customised reports can be developed easily on an “as needed” basis at minimal cost.
Rosters
SAM allows the set up of multiple roster types. Once a roster is set up, it is available for use by allocating it to individuals via their profile screen. SAM uses the roster details to determine the person's travel and accommodation, when a roster booking is run.
Automated E-mail Notification
SAM notifies department heads and system administrators when transactions occur that affect an employee’s travel or accommodation arrangements. The type of events that trigger these notifications may be transport reschedules or cancellations.

Osmotion SAM can be used in a wide range of industries, across all key phases of an operation’s lifespan from preconstruction right through to operations.
Accommodation Management
SAM can manage multiple accommodation facilities, at multiple sites. Rooms can be set up and allocated against the available room types for each of these locations. SAM has the capacity to record maintenance issues for each room, allow the allocation of rooms to permanent staff and/or temporarily allocate accommodation to site visitors. The accommodation management functionality includes the ability to generate cleaning rosters. The cleaning roster allows for everyday cleans, weekly cleans or roster cleans (i.e., the room is cleaned according to the roster of the room occupant). The accommodation functionality also offers a waitlisting feature for staff who are a waiting to acquire a specific accommodation type.
Travel Management
For each mode of travel to and from site, transport is set up in SAM outlining the ports of departure and arrival, the direction of travel, the departure and arrival times, the number of seats available on each transport and the valid date range for which the service operates.
Some flights consist of multiple legs of travel. SAM handles this situation easily, with the introduction of Flight Sectors. The individual legs of the flight are set up via the Transport Types Active screen. The user then creates the flight sector, grouping the individual travel legs together. Users are able to build flight sectors using any of the available flights in the SAM system. System validation manages flight order and times to ensure that departure and arrival times do not conflict.
SAM easily manages flights that travel through multiple time zones. Functionality to deal with multiple time zones and daylight savings is a core feature of SAM and once set up, requires no action on the user's behalf.
Resources
Employee details are set up via the people menu option. The person’s profile captures information such as the department and employer s/he is working for, his/her commence date, the commute base, the cost code to which his/her flights and other associated costs are to be allocated and what type of employee s/he is (for instance, permanent employee, visitor). SAM can also record other information such as competency expiry dates. SAM easily handles the bulk upload of employee data from .CSV files. This feature is handy during shutdown operations where at times, hundreds of short-term contractors are on site and for whom employee profiles as well as accommodation and travel information are required to be inserted in the database.
