BHP Billiton Ravensthorpe
The Situtation
Ravensthorpe was moving from Construction phase to Production phase.
The company was using a manual process to manage key tasks associated with transport and accommodation management.
For example, a basic Excel spreadsheet was being used to track staff and their transport requirements. Manifests were produced manually, which required approximately 30-60 minutes per manifest. Around 200 manifests per week were needed. This very manual method was time consuming and costly.
Staff transport plans were posted on a noticeboard, which staff were required to check regularly, in order to confirm when they were to be transported and how.
The Problem
The manual system of generating schedules, printing manifests and posting them on a noticeboard was time consuming, labour intensive, open to errors and costly. If a mistake was noticed, it was costly to fix, given the time required to do so.
Staff were required to be able to visit the noticeboard to receive their travel plans, or to make telephone calls to the administrators to retrieve information about their transport and accommodation bookings. This was costly and time consuming for all involved.
The Solution
BHP Billiton installed SAM for use at Ravensthorpe. SAM provided an immediate and significant cost saving. Manifests are now produced automatically, in a fraction of the time. Travel itineraries can be accessed directly by staff, removing all of the manual labour of printing and posting on noticeboards.
Staff can simply logon to any internet access point, to check their travel and accommodation schedules, via the SAM Kiosk. They can print their itineraries if they wish, or take an electronic copy.
The number of errors in scheduling and bookings have been reduced to zero, as SAM provides automatic checking to ensure there are no booking conflicts, before anything is confirmed.
